Privacy Policy

Last updated: 24 October 2026

This policy explains what personal data Avexa Events Limited collects when you interact with us, how we use it, and the rights you have over it.

1. Who we are

This website is operated by Avexa Events Limited ("Avexa", "we", "us", "our"), trading as Avexa Events, Avexa Training and Fix It Yourself. We are a company registered in England and Wales, company number 17325062, registered office at 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ.

For any question about this policy or your personal data, contact us at admin@avexaevents.com or by WhatsApp on 07771 415896.

2. What personal data we collect

We collect personal data when you interact with us, including:

  • Booking and enquiry data: name, email address, phone number, and any details you provide when you book a workshop or event through one of our Google Forms booking links, or when you email or WhatsApp us.
  • Organisation data: if you enquire about corporate, school, charity or community training, the name of your organisation and your role within it.
  • Photos, video and recordings: images, video or audio captured at our in-person workshops and events, which may be used on our social media, website and in promotional materials. See our Terms & Conditions for our media consent policy.
  • Technical data: standard information collected automatically by this website, such as pages viewed and browser type (see our Cookie Notice for detail).
  • Demand registration data: if you use the "Bring It To My Town" page to vote for a workshop to come to your town, we collect your full name, mobile number, the workshop and the town. See section 3 below for full detail.

We do not collect payment card details directly on this site; booking and payment is handled through our Google Forms booking link and the payment link provided at checkout, which have their own privacy policies.

3. Bring It To My Town · demand registration

If you submit your details through the "Bring It To My Town" page to vote for a workshop or module to come to your town, we collect your full name, mobile number, the workshop you've voted for, and the town you've put forward.

  • Why we collect it: to measure genuine demand for each workshop across different towns, to help us decide where to run it next, and to prevent duplicate votes from the same person. We allow one vote per workshop per mobile number; if you vote for the same workshop again, your existing entry is updated rather than duplicated, but you can vote separately for different workshops.
  • Where it's stored: your full name and mobile number are stored in a private Google Sheet, held in our own Google Drive. This information is never published and is only ever accessible to Avexa Training.
  • What's shown publicly: the live map and leaderboard on the "Bring It To My Town" page only ever display a workshop's name, a town's name and a running total vote count. Your name and mobile number are never displayed publicly or shared with other people who submit a vote.
  • Legal basis: consent, given when you tick the consent box on the form before submitting your entry.
  • How long we keep it: we keep this data until a decision has been made about where the next Fix It Yourself workshop will run, or for up to 12 months from submission, whichever is sooner, after which it is deleted.
  • Updating or removing your entry: you can ask us to update or delete your entry at any time by emailing admin@avexaevents.com.

4. Why we use your data, and our legal basis

  • To deliver a booking you've made (performance of a contract), confirming your place, sending joining instructions, and running the session.
  • To respond to enquiries (legitimate interests), answering questions about our workshops, events or training topics.
  • To promote our workshops and events (consent), using photos, video or testimonials captured at a workshop or event, as set out in our Terms & Conditions.
  • To send you relevant updates (consent, where required), such as future dates for a workshop you've attended or enquired about. You can opt out at any time.
  • To meet our legal obligations (legal obligation), such as keeping basic financial records.

5. Who we share your data with

We do not sell your personal data. We may share it with:

  • Service providers who help us run bookings and communications, such as Google (Google Forms, and Google Sheets for demand registration data), our email provider, and WhatsApp/Meta (for messages you send us via WhatsApp).
  • Venue partners, where necessary to run an event or workshop you've booked onto (for example, sharing attendee numbers with a venue).
  • Authorities, where we're required to by law.

6. How long we keep your data

We keep personal data only for as long as necessary to fulfil the purpose it was collected for, and in line with our obligations under UK data protection law, after which it is deleted or anonymised. Where we're required to keep certain records for longer, such as financial records, we do so only for as long as the law requires.

7. Your rights

Under UK data protection law, you have the right to:

  • Ask us what personal data we hold about you, and get a copy of it.
  • Ask us to correct inaccurate data.
  • Ask us to delete your data, where there's no good reason for us to keep it.
  • Object to, or ask us to restrict, certain uses of your data.
  • Withdraw consent at any time, where we rely on consent.

To exercise any of these rights, email admin@avexaevents.com. If you're unhappy with how we've handled your data, you also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. Data protection registration

Avexa Events Limited is not yet registered with the ICO; registration is in progress and this page will be updated with our registration number once it's complete. Most UK organisations that process personal data are required to register with the ICO and pay the data protection fee unless an exemption applies, more detail is at ico.org.uk.

9. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top of this page shows when it last changed.
